Notes from Family Business Meeting #2 - Council Roles and Nominations

Family Business Meeting #2
Saturday May 3, 2014

Present: Peter, Jenny, John, David, Yuka, Andy, Robb, Jessica, Lisa

Council positions open for running:

President
From Robb: not very well defined role; attends Council Meeting; often prays at things like Council Meeting; not so much doing but rather being… being a spiritual figurehead of the fellowship; taking spiritual responsibility for the fellowship; ‘if something wants to get to the fellowship has to go through the president’; paying attention to how the fellowship is doing, how things are going, looking to the future; helping wherever help is needed. From Skippy: two takes on the job depending on who has the position. Pastoral, Organizational. Be-er, Do-er. Make sure the other members handle the other emphasis. No right/wrong, depends on who you are. From Robb: I used to feel inadequate when looking at all that Peter had done, but then I realized “I’m not Peter.”
Eliza:佤是What is the most difficult thing that you’ve had to deal with?

Robb: Lawsuit stuff. Required a lot of energy. Another challenge has been trying to be honest and seeing how the fellowship is actually doing as distinct from how I would like them to be doing.
(So, president helps with any crises that may arise.)

Robb:Be-er/Do-er should reflect spiritual gifting. Self-evaluation, with caution, in framework of who he is. Robb brings Peace
Large Group Coordinator
From Peter: Important to prepare for large groups.
From Andy: You mostly help Peter and go to large group.
From Peter: Leading large group can be done in a variety of ways
  1. Luke method (aka Peter method)- introduce a topic, have a short discussion, break into groups with discussion questions
  2. Sam method – invite a lot of outside speakers
  3. Tim method – pick books and current event stuff and lead on that. More lecture style than discussion
2-4 hrs a week preparing
Peter will talk with Alex separately since Alex isn’t here and is considering the job.

Secretary/Treasurer-
Beginning of year register cub, get funding, send emails about events, update the blog, take notes, take care of moneys, etc.
Interesting and varied tasks
Good to be organized and on top of things

Event Coordinator – responsible for making all the events happen, but can delegate at will.
Things like Turtle Prayer, Dig in , Retreat Coordinator, etc
Hoping to include more people in CCF in leading through these various delegated roles.
Eliza: how will this delegation happen?
Peter: People can express interest!  Event coordinator can also ask! 

Few number of positions than in years past – don’t want to seem like there’s a dichotomy between  council and not very involved people. Good to have many people involved who aren’t on council 

Also will be small group leaders
Historically, small groups have created their own leaders who have been acknowledged by council.
Skippy willing to do a small group leaders training during summer
Peter willing to start up and support two small groups, one for North Houses and one for South Houses, and hope that leaders will rise up from that.
In the past 6 years… the fellowship has been as large as 50 people attending small groups.

Small group – Veggie Tales, writing Fish Line, community service, worship… etc

Jams: Should someone be on council if they will be gone for a term?
Answer: It has been done before  Find someone to cover, skype into council, etc.
Peter can help pick up some slack. He’s not planning on being on main council.

Election process (from Robb):
Nominations – anyone can nominate anyone for any position, including oneself
Once nominated, if multiple people are nominated for same office, the people will talk with one another and sort things out so that it is one person by FBM 3
Final voting – affirm and endorse the people stepping into the offices. Unanimous – 2 is the criteria for someone passing.
Jenny: what if someone doesn’t pass the final voting?
Robb: I haven’t ever seen this happen…
Answer: Discuss it out
Skippy talked a bit about the history of CCF and FBMs. That’s who you are. Luke and Steph are good people to talk to about college fellowships.
